This notice explains how Tim Gardner Therapy Ltd handles personal data when you get in touch through this website. It doesn't cover how session notes and client records are handled once you're working with me, that's set out in the counselling contract you'll receive before we begin.

Who's responsible for your data

What I collect and why

When you contact me through the website, by email or by phone, I collect the information you provide, typically your name, email address, phone number, and whatever you tell me in your message. I use this to reply to you and arrange an initial conversation.

If your message includes anything about your health or the reasons you're seeking counselling, that's also collected and held securely.

The legal basis for processing this data

For your contact details, I rely on legitimate interests, I need this information to respond to enquiries and run my practice.

Where you share anything about your health or wellbeing, the legal basis is different: it falls under Article 9(2)(h) of UK GDPR, which covers the provision of health or social care by a professional bound by a duty of confidentiality. My BACP membership and its ethical framework are what provide that duty of confidentiality.

How long I keep it

If your enquiry doesn't go on to become ongoing counselling work, I delete your details after 7 years.

Who else sees it

I use Hostinger and Google Workspace to run the practical side of the practice. They process data on my behalf and are bound by their own data protection obligations. I don't share your details with anyone else.

Your rights

Under UK GDPR, you have the right to:

  • ask what personal data I hold about you

  • ask me to correct anything that's inaccurate

  • ask me to delete your data

  • ask me to restrict how I use it

  • object to how I'm using it

  • ask for your data in a portable format

Tim Gardner Therapy Ltd is ICO registered (ICO:ZC244179). If you're unhappy with how your data has been handled, you can complain to the Information Commissioner's Office (ico.org.uk).
